Another useful feature is that the QuickBooks Time mobile app employs both geofencing and GPS tracking. You can use these tools to restrict where your employees can clock in and out from and monitor their locations throughout the workday. Although employees may hesitate to have their location tracked, this feature can be useful for maintaining accurate timecard hours and increasing employee safety. You can also view real-time reports to keep an eye on time and attendance data.

TipTip: Once you turn on GPS location tracking in company settings, you can use it to identify which employee is closest to a job site and deploy them accordingly.

QuickBooks Time can integrate with third-party applications, like payroll and accounting software, so you can automatically transfer employee data between platforms, minimizing the risk of errors. Although QuickBooks’ platform integration is on par with industry standard, it is an important feature for any mobile workforce to look for.

Employees can see the latest schedule in real time by logging in to the system or the mobile app. They can also be notified on their mobile devices when new schedules or shift changes are released.

Employees can add their work schedules to any calendar app that supports iCalendar, including iOS, Google and Outlook calendars. Another benefit of QuickBooks Time is that you can create email, text or Twitter notifications for when workers are closing in on the end of their shifts. Social media notifications like these are not a common feature in the industry, but some teams may prefer and enjoy social media communications.

In case you need to track what jobs and projects your team is working on, QuickBooks Time has job-tracking features that are competitive with the industry standard. For example, you can manage and track employee hours (estimated and actuals) against specific projects and tasks. Managers and employees alike can see an in-app activity feed, write project notes, and add digital signatures to their timesheets.

QuickBooks Time offers two service plans: Premium and Elite. There are no setup or implementation costs, and QuickBooks allows you to switch or cancel your plan at any time.  

  • Premium: This plan costs $20 per month, plus $8 per employee per month. It includes employee scheduling, job and shift tracking, timesheet management, payroll integration, PTO management, alerts and notifications, and real-time reports.
  • Elite: This plan costs $40 per month, plus $10 per employee per month. It includes everything in the Premium plan, with the addition of geofencing, timesheet signatures, project and mileage tracking, and reports of project estimates vs. actuals.

QuickBooks Time offers a 30-day free trial, which doesn’t require you to provide any payment information. When that free trial ends, you’re asked to add payment information. If you choose not to activate your account, there is no need to cancel anything.

We found QuickBooks Time’s customer service to be top-notch. We contacted the company numerous times, posing as a new business owner interested in time and attendance systems. Every time we reached out to QuickBooks Time, helpful and friendly representatives immediately answered our calls and never pressured us to sign up for the service.

Support is available by phone and live chat Monday through Friday, 6 a.m. to 6 p.m. PT. The QuickBooks Time website is full of helpful resources, including a learning center and a resource center with tools, webinars, tutorials, videos, training classes, blogs, and FAQs.

Although QuickBooks Time is comprehensive time and attendance software, it does have its limitations. For example, you’ll pay a monthly base fee to use the software. Many competitors only charge per employee, but QuickBooks Time charges a monthly fee and per employee. This may not be a dealbreaker for you, but keep it in mind when you tally up your average monthly cost.
